A client of ours in the North Houston area is looking for a highly organized Executive Administrative Assistant to join our team. This role will provide office management support and assistance to the Company. The ideal candidate has deep experience supporting executive management and can adapt quickly to a fast–paced work environment. The candidate should be a team player, detail–oriented, time efficient, resourceful, and complete tasks independently with little direction. This role is Monday through Friday from 9AM–6PM. ? Answer and direct incoming calls
? Meet and greet visitors and clients
? Maintain the day to day operations of the office
? Exercise high degree of confidentiality and discretion
? Provide core administrative support such as initiating and maintaining filing system for all documents, managing calendars, processing mailings and shipments, printing, scanning, and faxing
? Liaise extensively with external clientele (i.e. property management, outside counsel, CPA?s, auditors, bank representatives, contractors, municipal agencies, etc.)
? Coordinate office meetings, conferences, and events
? Coordinate travel arrangements including airline reservations, hotel accommodations, and car service arrangements
? Keep abreast of and manage office procedures and company policy guidelines
? Maintain all office equipment (fax machines, copiers, printers, phones, etc.)
? Responsible for stocking and maintenance of general office supplies
? Liaise with building/property management with regard to maintenance requests, construction, etc.
? Maintain and reconcile bank accounts, issue checks and prepare deposits, as appropriate, for various entities
? Maintain ledgers of multiple corporate accounts
? Read and review contracts and other legal documentation when required
? Due diligence
? Produce letters, presentations reports as necessary
? Other projects as assigned
? Run personal errands as needed
? Executive assistant experience or in related administrative job
? Bookkeeping experience is useful
? Bachelor's degree
? Ability to perform in fast–paced work environment
? Strong Microsoft Word, Excel and Outlook experience
? Excellent organization skills
? Strong time management skills; ability to multitask and prioritize numerous tasks
? Ability to effectively communicate with individuals of all levels
? High level of professionalism with the ability to maintain confidential information
? Excellent communication both in written and verbal correspondence
