The Bookkeeper will manage full–cycle general ledger accounting, banking, bank and credit card reconciliations, payroll, and assist with tax and audit preparation.
The ideal candidate is a dedicated professional who is energized by challenge and thrives in an ever changing environment of constant growth; who is able to stay highly organized, multi–task, and suggest and implement systems to improve efficiency, audit readiness, and GAAP compliance. Ideally this person will have experience working with sales, fundraising, and marketing departments to provide education around financial reports and budgets.
The Bookkeeper works closely with the Accounting Associate and reports to the Controller.
This is a full–time, on–site position in our sunny, casual Emeryville office.
Bookkeeping and General Ledger Maintenance
Manages accounts payable (A/P), reviews weekly payables with Accounting Associate, and initiates wire transfers when requested
Enters in daily Salesforce credit card transactions, reconciles to bank and QuickBooks Online (QBO)
Prepares month– and year–end journal entries, including shared cost allocation, accrued vacation, prepaid expenses, prepaid insurances, deferred revenue, accrued payroll, etc.
Reviews weekly bank deposit with Accounting Associate
Prepares bank and credit card reconciliations
Develops and maintains accounting schedules, including: depreciation schedule, fixed asset schedule, prepaid expenses schedule, shared costs schedule, deferred revenue schedules, etc.
Continually develops and maintains adequate documentation to ensure annual audit progresses smoothly and that all requests can be fulfilled in a timely manner. Includes uploading copies of all checks and invoices into our cloud–based filing system (in Dropbox)
Prepares month– and year–end reports, including Profit & Loss Statement, Balance Sheet, Budget vs. Actuals, and Statement of Cash Flows
Billing and Accounts Receivable
Monitors accounts that are aging and works with the Accounting Associate to follow up with customers and communicates with Course Enrollment team about delinquent accounts
Supports Accounting Associate when needed to generate invoices for customers paying by purchase order and follows up with any additional documentation required for remittance
Partners with outsourced HR to process semi–monthly payroll, employee garnishments, and expense reimbursements
Processes 403(b) contributions
Generates, distributes, and files personnel–and payroll tax–related documentation including 1099s and 1096s
Enters all offline payments made via check or wire transfer into Salesforce
Reconciles accounting entries in QBO to SalesForce
Works with IT Manager and Accounting Associate to ensure accuracy across systems
Required Education, Experience, and Skills
4+ years of full charge bookkeeping using Quickbooks Online
Experience working in a startup environment and/or small business environment
Technologically savvy; comfortable and proficient in using SaaS products including: Quickbooks Online; expense reporting software such as Tallie or Expensify; Google Drive and Google Docs; and CRM systems, such as Salesforce
Significant familiarity with Generally Accepted Accounting Principles (GAAP) and more specifically, how they pertain to nonprofits
Must be extremely meticulous and possess a critical eye for mistakes and inefficiencies
Advanced proficiency in Excel, including experience using PivotTables and synthesizing and reconciling large amounts of data across multiple platforms
Must be a self–starter and able to work with minimal supervision
Must have great written communication skills, with experience in internal and external customer service
Must be able to address customers with outstanding balances with both sensitivity and assertiveness
Preferred Education, Experience, and Skills
Bachelor's degree in Accounting strongly preferred
