JOB DESCRIPTION: Controller at Medvec & Associates Company Overview Medvec & Associates is a firm that advises companies on high–stakes negotiation, decision–making, team effectiveness, corporate governance and women in leadership. For over two decades, Dr. Victoria Medvec, the firm's President and CEO, has brought her unique expertise to some of the world's largest and most highly–respected companies, such as McKinsey, McDonalds, Google, Microsoft, BlackRock, Amgen, and GRAIL, to name a few. She is also the Adeline Barry Davee Professor of Management and Organizations at the world–renowned Kellogg School of Management at Northwestern University. Role Overview We are looking for an organized and detail–oriented professional with a strong work ethic and passion for the world of business. The Controller is an absolutely integral role to the success of this business, controlling all of the revenue and finances of the business. The Controller helps to maximize Medvec & Associate's return on financial assets by managing financial policies, controls, procedures, invoicing, and reporting systems. Essential Duties and Responsibilities This is a full–time position: It is a one–year commitment with the ability to extend the commitment after one year. There is a potential to negotiate flexible hours or work situations upon request. Contract Invoicing : work closely with the team throughout the business development process to track proposals through contract phase, and then craft and send invoices (in Quickbooks Online) for the appropriate amounts Contract Management: understand complex contracts and maintain detailed tracking (in the Customer Relationship Management system) as various sessions and consulting engagements are completed, and ensure invoicing is kept up–to–date accordingly Expense Invoicing : coordinate with Administrative Assistant and firm Associates to collect travel expenses and organize them into consolidated invoices (in Quickbooks Online) for each client Payment Management: work with Director of Finance to carefully record payments received and prepare for upcoming payments Client Finance Liaising: work directly with contacts from Medvec & Associates clients' finance departments to ensure efficient invoicing that complies with their company procedures Accounts Receivable Management: regularly process Accounts Receivables reports (using Quickbooks Online) and work with the Chief of Staff to collect open and overdue payments Reconciliation with Accountant: work closely with the Accountant on various reconciliation activities including categorizing unidentified income and unclassified expenses Financial Health Management: perform comprehensive financial and client analyses for the business in conjunction with the Associates including mapping lead sources, revenue cycles, and session type cycles Key Competencies Organization and Attention to Detail Understand the business and pipeline at large while also maintaining a strong detail focus Ability to organize and manage priorities to efficiently streamline the workflow to meet deadlines Keep careful notes and tracking systems to ensure no invoices or payments are missed or include errors Communication Skills Ability to write professionally and to format formal invoices Strong interpersonal communication skills are essential when dealing with other Medvec & Associates team members, clients, and other external stakeholders Familiarity with financial and accounting terminology Business Proficiency and Financial Acumen Demonstrate an understanding of a professional services and consulting business model Understand basic accounting procedures and key levers of financial health Adaptability Ability to multi–task and shift gears when required Manage multiple demands across various clients at any given time Continuous Improvement Orientation Look for small–, medium– and large– ways to improve the way work gets done within the firm Have a learning orientation for oneself, look at learning and development as an ongoing process and delight in the process of personal improvement ??? Experience & Qualifications Bachelor's degree Business degree a plus 2–3 years of experience in a professional work environment, preferably in a finance function Excellent interpersonal, oral and written communication skills Strong initiative and ability to handle multiple projects/roles in an evolving environment Ability to work independently but collaborate with Medvec & Associates Team when needed Technical Requirements: Familiarity with Microsoft Office, especially excel Medium–to–strong level of skill with Quickbooks Familiarity with CRM/Database Management or ability to learn
