Description:
This position
* Oversees all administrative management duties of the organization, with a major focus of managing the Agency's finances and other resources
* Responsible for the performance and operations of the organization and is highly engaged in resolving challenges as quickly and efficiently as possible
* Incorporates providing confidential and professional support to the management team and as such, ensures effective coordination and execution of a range of functions to ensure a seamless operation.
Key Responsibilities
* Handling the organization external and internal communications and management systems
* Balancing the demands of concurrent activities while maintaining a high level of professionalism and diplomacy
* Engaging in budget monitoring and oversight thereby ensuring the allocation and availability of all necessary resources
* Management of office equipment; monitoring the procurement of goods and supplies
* Coordinating the organization and availability of programme and administrative documentation for reviews by external auditors and other key external stakeholders
* Coordinating the Agency's recruitment processes and employment of professional staff including the development of job descriptions, compensation packages and orientation schedules
* Overseeing the management and disbursement of compensation packages
* Overseeing programme activities ensuring deliverables are completed within defined timelines, scope and budgeted resources
* Ensuring control of programme activities by dealing with and finding solutions to conflicting priorities, issues and challenges
* Designing and employing project and change management strategies to assess and minimize programme risks, manage changes to programme scope and/or schedules as applicable to enhance the viability and success of the organization
* Providing administrative support and technical direction for programme activities
* Organizing, arranging and coordinating meetings to include technical, financial and/or programme related
* Compile and/ or review technical and financial reports to donor entities and/or other stakeholders
* Participating in eternal reviews by auditors and other external stakeholders
* Establishing and maintaining linkages with key stakeholder groups - including funders, Civil Society Organizations, government entities, individuals and corporate groupings
* Coordinating and supervising the workflow of programme and/or administrative staff
* Overseeing the maintenance of programme records, human, financial and other relevant documentation
* Maintaining and/or developing filing systems through the creation and coordination of relevant project folders, reports and other applicable files both paper based and electronic
* Maintaining a productive and efficient working environment
* Ensuring that organization operates in accordance with in-country laws
* Performs other duties as assigned in ensuring that the organization's activities and programmes are implemented in accordance with the relevant procedural guidelines.
REQUIRED SKILLS AND KNOWLEDGE
* A strong financial and technical background with emphasis on grant management
* A solid working knowledge of Microsoft Office
* Strong proposal writing skills especially for large grants
* Experience in managing and/or coordinating the implementation of simultaneous projects especially at the community level
* Ability to work effectively and professionally with all levels and cross-functional teams
* Ability to supervise staff as well as establish and maintain effective working relationships
* High levels of confidentiality, adaptability and a willingness to learn
* Keen attention to detail with a high level of accuracy and timely completion of duties
* Proficiency with project management tools and strategies
QUALIFICATIONS
The selected individual must possess the following:
* At minimum, a University Degree in Business Administration or related discipline
* At least 5 years experiences in a Senior Administrative, grants or project management position preferably within the Non-Governmental Organization sector
* Prior financial and technical experiences managing large grants with multi-stakeholder groups is desirable
* Excellent writing, communications and organizational skills
* Excellent and demonstrable Project Management Skills.
* Experiences organizing and or overseeing children and youth work activities or health programmes is an asset.
