Job Description

Reporting to: Regional Grant Officer(Regions) & Grant Accountant (HQ)

Job Location: 1 North Eastern

Overall Purpose:

The Grants Assistant will have primary responsibility for assisting the finance department in managing, processing and troubleshooting various accounts and transactions including processing payments, maintaining cost reports and managing invoices in an effective manner to support the smooth operation of the finance department. This job is mostly supportive in nature and the GA is responsible for carrying out the accounting duties accurately by applying various accounting principles to ensure there is full compliance with contract obligations and that all funds utilized are well documented, accounted for and reported.

Core Duties and Responsibilities

Perform periodic Budget Variance Analyses to ensure prudent use of program funds. Support procurement process and audit preparation as per organizational policies.
Monthly monitoring of cash flows, update of the cash book and assist in preparation of bank reconciliations.
Monthly update of Program fixed asset Register ensuring it's complete and communicate any gaps to your supervisor.
Maintain safe custody of the petty cash box, perform monthly cash reconciliations and replenishments as per the organizational policy & guidelines.
Prepare all supporting documentation and ensure payments to suppliers, partners and regions are done on time.
Perform monthly M-Pesa Reconciliations.
Monitor on quarterly basis the vendor aging summary for aged debtors/creditors and share the report with your supervisor for follow up and action.
Assist the Regional Grants Officer s and Grant accountants in preparing monthly Regional financial reports and also in the review of Sub-recipient financial reports as well.
Process invoices into the KRCS Navision system and ensure all supporting documentations are attached.
Process staff advances and expense analysis into the Navision system ensuring all the supporting documentation are attached and that all approval processes have been adhered to and also they are within approved budgets and ensure the same are paid on time.

Implement approved work plans & budgets in line with donor/KRCS policies while ensuring effective and efficient use of donor funds.
Provide any other administrative support that may be required in the office.

Minimum Qualifications

Bachelor's Degree in Business Management, Finance, and Accounting, Economics or equivalent qualifications' addition, the holder should have at least CPA 2.
One-year relevant experience in areas of grant management & Finance
Previous work in HIV, Health and/or grant programs especially dealing with sub Grantees.

Excellent communication & interpersonal skills to manage stakeholders (both internal & external)
Possess strong analytical & critical thinking skills
Considerable IT & MIS skills (MS Dynamics Navision and MS Office) Ability to perform under minimal supervision
Ability to maintain high standards of personal integrity and be trustworthy
Demonstrate ability to meet tight deadlines, analyse financial and operational data and information.
