  We’re looking for an Accounts Payable Assistant to join us at the UK’s number one Not-for-profit to work for (Sunday Times Best Companies Awards 2018) and one of the most exciting youth charities in the UK.   FINANCE JOB DESCRIPTION Job Title: Accounts Payable Assistant Location: Head Office, Lancaster House, Sharston. Hours: Full time, 35 hours per week Date: August 2018 Grade: Up to £19,342 per annum The Message Trust exists:  To advance the Christian religion amongst young people mainly (but not exclusively) of secondary school age in particular by the use of music, drama and speech including utilisation, encouragement, promotion and development of opportunities for education in Christian teaching and morals within schools and secondary educational establishments and otherwise, and  To educate in the Christian religion and Christian lifestyle, minister to, counsel and relieve young people who are excluded from educational establishments, suffering from dependency, poor, disadvantaged, deprived, marginalised or otherwise in conditions of physical, mental or spiritual need, hardship or distress. Responsible to: Head of Finance Primary internal working relationships: The Message Trust (TMT) Accounts Payable team Message Enterprise Centre (MEC) Accounts team Accounts Department Partnerships Department Primary external working relationships: TMT Suppliers Payroll contractor / company Banking provider Accounting Software support Summary of main purpose of the job: The post-holder will provide support to The Message and The Message Enterprise Centre Finance Team and assist the team in ensuring accurate and timely data entry, banking and income reconciliations are carried out. The main purpose of the role is to help manage the accounts payable function, including supplier payments, payroll and staff expenditure. Particular focus would be ensuring invoices and expenses are processed and entered correctly as part of the Purchase Ledger function. This is an excellent entry-level role for the right individual to develop and learn new skills with one of the most exciting youth charities in the UK. Main duties and responsibilities:  General support to the Accounts Payable and Receivable functions of the Finance Department.  To assist in maintaining and updating the Purchase Ledger ensuring accuracy and to follow up any differences.  To assist in processing invoices quickly and efficiently, including the logging and tracking of purchase invoices, and reconciling the ledger.  To monitor and maintain company credit card expenditure, including posting transactions to the ledger and providing assistance to credit card holders  To manage the staff expense claims process, including processing forms, agreeing claims to supporting documentation, reviewing for accuracy, and assisting staff with ad-hoc queries.  To maintain and reconcile supplier statements ensuring queries are followed up and that the appropriate records are kept at the Financial Year end.  Assisting with Balance Sheet reconciliations and Nominal Ledger maintenance  Preparing and completing TMT and MEC staff timesheets, starters / leavers and payroll amendments  Assisting with the preparation and maintenance of various files, including the Bank Payments, Year-end, Trustees, Large donors and Tithes files for both TMT and MEC.  Assisting with the preparation of ad hoc reports / duties for the Head of Finance or Finance Director under the supervision of the Purchase Ledger supervisor.  To work closely with the Finance team in the preparation of statistics, figures and other financial information for the management team when requested.  Participate in Reception cover for at least 1 hour per week on behalf of the Finance team.  Any other duties within the Finance Team as needed and as requested by the appropriate manager.  Enter fully into The Message Trust team life, including morning prayers, monthly prayer days, Greater Manchester evening prayer meetings, and other occasional events and conferences. Person specification: Essential  Must be a committed Christian and possess a desire to take part in the life of The Message ministry e.g. prayer days and other regular events.  Good numeracy and problem solving skills  Good ICT skills and knowledge of MS Excel 2013  Good telephone and e-mail manner and the ability to deal with a wide range of contacts  Good interpersonal communication skills  Well organised with a strong eye for detail!  A sound grasp of written English  Ability to work both alone and as part of a team  Eager to learn new skills, in particular a willingness to learn IT skills  Trustworthy and Reliable  Must have current Right to Work status in the UK Desirable  AAT qualification  Experience raising/processing invoices  Experience of working in an accounts environment  Experience of Payroll processes and systems  General proficiency in Microsoft Office programs  Experience of using Sage accounting systems  Ability to drive with own transport Confidentiality: Any information relating to people contacted by the Trust acquired in the course of duty must be treated in strictest confidence and must be discussed only within the confines of the work setting with the appropriate members of staff.
