Job Description

Division/Department.: Accounting and finance

Report in Line: Direct report to the CEO with a dotted line to the BOG [ Board of Governors].

Job Objectives

This position functions as the Hospital`s strategic financial and accounting leader and provides direction, supervision and planning of all financial and accounting activities within the hospital. In addition, this position works with other members of the Hospital`s BOG to implement the various strategies established in the annual business plan in order to maximize financial performance. It also is responsible to implement and adhere to the company`s system of internal accounting controls.

Responsibilities.
  1. Maintain complete knowledge of and comply with all hospital/ departmental policies and procedures.
  2. Develops, implements and maintains accounting and administrative policies and procedures for a wide-ranging set of activities including financial accounting and reporting.
  3. Supervises, directs and reviews the work of the accounting staff [ Including, but not limited to, cash reconciliations, insurance account statement reconciliations, check runs, accounts receivable transactions, fixed asset activity, payroll, accounts payable transactions, debt activity, recording of revenue and expenses, etc.].
  4. Coordinates; analyzes and reports financial and operational results on a timely basis. All accounting records of the hospital must be maintained in the manner prescribed by accounting standards ad best practices. Similarly, all reports and financial statements must be prepared on a timely basis in accordance with the instructions prescribed by the BOG.
  5. Contribute significantly to the streamlining of accounting processes and accounting systems, particularly with respect to the automation of routine tasks.
  6. Develop team members through a process of KPIs, performance reviews and appraisals, identify training needs and solution.
  7. Plans and conducts in-depth studies to determine cost of business activities. Recommends budget adjustments and other cost improvement measures.
  8. Establishes and maintains accounting practices to ensure data necessary for business operations is accurate and reliable.
  9. Oversees audit and tax functions, coordinates activities with outside audit firms and to reviews hospital`s performance.
  10. All laws and fiscal regulations of the country of location must be complied with. Ensures and monitors that proper permits and licenses are obtained for all required operations.
  11. The safekeeping of all leases, contracts, and any other legal records and documents which may affect the financial status of the hospital.
  12. Develops cash flow forecasting and maintains a long-term cash flow forecast.
  13. Approval of all cash disbursements, allowances and adjustments, and ensuring that they are all subsequently approved by the CEO.
  14. Reconcile all balance sheet accounts and include all evidence of management review. Ensure that supporting documentation for each account is available.
  15. Finalize budget and forecast, profit and loss account and other reporting requirements.
  16. Follow up on any internal, external, or statutory audit requests.
  17. Working alongside IT, to ensure that access to all systems are adequately restricted.
  18. Ensures that the periodical physical count and valuation of all stocks and operating supplies inventories are taken according to generally accepted standards procedures.
  19. Signs, Signifying his/ her inspection and approval of all Daily Reports of operations, Monthly Reports and Monthly Auditor`s Check List Report.
  20. Conducts department`s meeting to ensure smooth operation and management of the department.
  21. Manages the department to ensure sufficiency of manpower in accordance to volume of business and encourages job rotation as much as possible.
  22. Couches and counsels all employees specially the department heads and unit managers when applicable.
  23. Carries out Performance Appraisals for all Accounting Department staff fairly and in a timely manner.
  24. Performs other tasks as assigned by the CEO and/ or BOIG.


REPORT LINE AND COMMUNICATION.

Reports the CEO with a dotted line to BOG

Coordinates with other Division Heads to ensure smooth operations and all activities of the hospital.

QUALIFICATION.
  • Degree in Business and / or Accounting.
  • Member of CPA {K} and/ or ACCA.
  • Five {5} years Accounting experience, two {2} of which in a similar position.
  • Ability to communicate in English/ Swahili with clients/ vendors/ government agencies and staff to their understanding.
  • Ability to provide legible communication.
