HR Advisor – 12 Month Maternity contract – intl Financial Org

Job Purpose Deliver a proactive and flexible HR service by providing relevant and appropriate HR support to all employees, whilst driving best practice and ensuring compliance with all company procedures, documented policies and employment legislation. The role works closely with the teams in Europe and Japan.

Key Responsibilities • Ensure all appropriate policies, procedures and legal requirements are adhered to with clear audit trails and maintain all records in accordance with General Data Protection Regulations (GDPR).

• To strive for efficiency and ensure confidentiality, whilst continuously improving delivery of HR services to Managers and all employees, including: ➢ Providing first line support to Managers in all matters relating to HR ➢ Offering advice, arranging and supporting disciplinary and grievance hearings within policy, producing correspondence using standardised business formats.

• Manage the payroll for all locations in Europe as directed and liaise with Finance to ensure all relevant information is submitted to them Liaise and assist Line Managers with the recruitment by following agreed approval process, advertising vacancies, assisting with interviews, issuing contracts, ensuring all pre-employment checks are completed and undertaking new starter induction.

• Update and maintain the HR employee database, prepare and submit periodic management information reports (e.g. employee turnover report, absence reports, training completion reports etc) as required.

• Track employee absence (holiday, sickness and other approved absences) and notify any discrepancies to their immediate supervisor. Ensure effective monitoring of sickness trends and remedial action is taken and to facilitate a proactive approach to absence management to ensure a smooth return to work

• Assist with project work

• Support the development and implementation of employee recognition programmes

• Manage the company’s benefits programmes, including Pensions and Private Health Insurance

• Manage internship programmes by liaising between Line Managers and local schools, language schools and European universities.

• Support the management of internal control process as required

• Communicate effectively and professionally with both internal and external customers

A sound understanding of the principles of good HR practice and some knowledge of employment law

SKILLS REQUIRED:

• Excellent administrative and organizational skills • Excellent communication skills, works effectively within a team, see the potential in others and understands the impact of their actions on colleagues • Intermediate proficiency in MS Office package (Word, Excel and Power Point) • Excellent interpersonal and negotiation skills with the ability to persuade influence and, when appropriate, challenge with tact and diplomacy • A creative and analytical thinking style, applying tenacity in the face of obstacles • A pro-active approach to work and problem solving, and the ability to spot and • deal with issues as they occur • A high level of personal integrity, who displays respect and empathy for others • and is consistent, open and honest • Must have a clean credit history and no criminal record Experience • Previous experience in Human Resources required • Experience in European HR preferred but not essential Education or Certification • Bachelors degree or equivalent • CIPD qualified or desire to qualify • Advanced proficiency in English required • Intermediate to advanced proficiency in French, German or Italian is preferred
