Position: Commercial Assistant PC Range: - Value: - Reports to: DBL Manager Department: Commercial Supervises: - Position Location: Barbados Functions, Responsibilities and Tasks Finance & Administration Prepare and post local payments Prepare payments for NIS & PAYE, as guided Prepare Wire Transfers, to facilitate timely transactions Follow up on swift confirmations and supporting correspondences. Manage and maintain office petty cash. Manage and update as necessary, administration filing system Support Finance and Administration function as necessary IBC support - legal, BOD information, etc. Support to F&A as necessary Sales & Logistics Update Salesforce database with all current and final Sales Analysis. Document, summarize and record outstanding meeting minutes for shipments. Respond to general emails relating to and keeping track of current shipments and their requirements. Review and update each shipment file as required to ensure the file is complete Manage and update as necessary, sales and logistics filing system. Issue and settle debit and credit notes and routine collections and maintain and report on relevant statistical information. Support Sales and Logistics function as necessary. Competency Profile Education & Certification Degree in Finance or Administration or Management Competencies Planning & Organization - able to think ahead in order to establish an efficient and appropriate course of action for self and others. Prioritizes and plans activities taking into account all the relevant issues and factors such as deadlines and resources. Communication - able to get one's message understood clearly by adopting a range of styles, tools and techniques appropriate to the audience and the nature of the information. Managing relationships - able to build and maintain effective working relationships with a range of people. Works co-operatively with others to be part of the team, as opposed to working separately or competitively. Flexibility - adapts and works effectively with a variety of situations, individuals or groups. Able to understand and appreciate different and opposing perspectives on an issue, to adapt an approach as the requirements of a situation change, and to change or easily accept changes in the organization or in job requirements. Skills/ Experience Minimum 2 year work experience Microsoft - Advanced Word, Excel, Powerpoint SAP awareness Spanish Language fluency is a definite asset
