The primary focus of this role is to support the Finance Manager with the day to day financial needs of the business, but you will also be responsible for smooth running of our working environment.

As they scale, both in terms of our client and employee numbers, we need to ensure that the day to day financial and operational needs of the business are looked after.

Client Details

The client is a private educational company that assist's students in passing their GCSE's using online subscriptions and establishing relationships with schools.

Description

Finance Assistant Responsibilities (Two thirds of the role)

  • Day to day bookkeeping duties
  • Weekly/Monthly reconciliation of main/credit card/expense/petty cash accounts.
  • Daily banking duties - cashing cheques, ensuring timely payments to suppliers, liaising with school bursars with ad hoc accounting queries.
  • Invoicing schools and on occasion private clients
  • Utilising Xero Accounts, Google Sheets
  • CRM management
  • Chasing outstanding invoices with view to ensuring prompt payment whilst maintaining a good relationship with the finance managers from the schools.
  • Great attention to detail and the maturity to handle confidential information is a must
  • Logging expenses
  • Willingness to assist the finance manager with other tasks of importance when needed such as year end/audit.

Office & Facilities Manager Responsibilities (The remaining third):

  • Oversee day-to-day Office Management duties: larder, stationery & marketing supplies, equipment, mailing, liaising with cleaners etc
  • Efficiently work within a set budget and cut costs where possible
  • Work with Finance & HR to ensure all employees have what they need to work effectively
  • Help to organise office events: birthdays, christmas party, leaving parties etc.
  • Help us take care of our visitors
  • Work with HR and Management team to onboard new employees
  • Work with HR and Management to source and move to a shiny new office!
  • Ensure Tassomai hardware is running well
  • Point of contact for all internal enquiries about software or hardware.
  • Point of contact for internal enquires about connection to the internet.
  • Ensuring new employees get an appropriate device when joining (if appropriate).
  • Ensuring new employees and guest visitors are able to connect to the internet
  • Safeguard sensitive information on devices for out of office use.
  • Safeguard devices with appropriate encryption in case they become lost or stolen.

Profile

The successful candidate will have:

  • Experience of using Excel a must
  • Experience of using Xero accounts a bonus
  • Experience of using a CRM a bonus (we use Insightly)
  • Quick learner
  • Highly numerate
  • Attention to detail & observant
  • Technically minded
