This is a split role between managing the firms litigation billings process and administrative support for the firms Legal solicitors. It is essential that the candidate has prior experience of legal billing/client invoicing; Paralegal skills may be learnt on the job.

Description
Responsibilities & Duties of the Legal Billings Assistant & Paralegal:
Billings Process
- Overseeing litigation accounts including:
- Assisting in the preparation of litigation cost budgets;
- Monitoring of compliance with litigation budgets; and
- Assisting with preparation of statements of costs (interim and final).
- Liaising with partners in the firm's London and Dusseldorf office to prepare and finalise invoices.
- Communicating with clients.
- Handling and processing of incoming third party invoices and expenses.
- Liaising with the firm's accounts department regarding the preparation of bills, payment of invoices.
- Management of fee earner travel and expenses.
- Management of disbursements.
- Keeping up to date with changes in relevant procedures.
Administration and Litigation Support
- Internal document management.
- External document management.
- Preparation of papers for the Legal solicitors, external counsel and court.
- Preparation of papers for external use (for example, court, barristers, witnesses etc.).
- General litigation assistance (including participation in disclosure exercises, research and attending internal meetings).
- Checking, finalising and sending correspondence.
- Fielding calls where appropriate and taking accurate and detailed telephone messages.
- Interfacing with internal teams to open new client files.
- Good diary management (e.g. arranges meetings, conference calls, etc.).
Assisting other paralegals in the team where required.
Profile
Core qualities of the Legal Billings Assistant & Paralegal:
- Good well-rounded education.
- Bachelor's degree or equivalent vocational training in accounting e.g. AAT Accountancy Qualification (but not essential depending upon experience - see below).
- Prior experience of legal billing/client invoicing.
- Strong numerical ability.
- Advanced excel skills.
- Highly analytical.
- Excellent attention to detail.
- Prior experience assisting with legal / prosecution billing.
- A respect for confidentiality at all times.
- A "can-do" approach.
- A consistent, reliable, flexible manner and good time keeper.
- Excellent organisational skills and the ability to communicate effectively.
- The ability to prioritise and work well under pressure.
- The ability to foster trust and understanding within the team by:
- showing willingness to assist when requests come in;
- showing concern for others by offering to cover; and
- being positive and responsive to requests.
