Trade Promotion Tracking and Review: He will be mainly responsible for receiving new claims, confirming receipt of documents from distributors and updating the status of each SD on the TP Tool accordingly. He will provide support on the review of TP claims from all China market distributors ensuring documents are complete and aligned with the set standard operating procedure prior to payment. Review includes but not limited to the following: a. Ensures related activity is valid and has been completed with reference to the proof of performance and has complete supporting documents b. Ensures amount to be paid does not exceed the committed amount c. Ensures invoice is charged to the correct sales deal for trade promotion (TP) d. Ensures that the amount charged is in compliance with the contract/agreement with the trade partners Record Management: The AP Associate will be responsible for document filing and retention of Accounts Payable documents such as vendor invoices, expense reports and TP claims processed and paid in compliance with the Corporate Record Retention Policy. His responsibility includes but not limited to the following: e. Maintains the summary of the filed and archived documents processed in GSS China Hub. f. Updates the records monitoring file which includes the box number, binder number, description of document, year, status, etc. g. Tracks and updates the database for the borrowed and returned files. KPI/ SLA Tracking and Reporting: The AP Associate is responsible for meeting the agreed KPI and turn around time in the review and processing of claims. • Matrix that will be used to assess the progress of each Accounting employee in terms of skills development. On an on-going basis, ensure that the skill matrix review is done for all STS employees and gaps are addressed via clear and actionable next steps. Audit Support: Responsible in providing support to Internal audit, Sarbanes-Oxley audit and at some points to external audit on identified tests. Part of the AP Associate's responsibility is to provide relevant requirements and/or documents to carry out the audit. • implementation plans with internal stakeholders and global leaders.
