Logistics Co-ordinator Reports To: Finance Manager Department: Finance Key Duties and Responsibilities:- Secure booking with shipping agents for all export requests and planned export orders. Receive, research and respond to customer inquiries and requests promptly and efficiently. Offer customer alternatives to unresolved problems. Exercises high priority to incoming customer emails, phone calls and queries. Coordinate haulage services for export and import containers with external transport service providers and warehouse. Prepare commercial invoices, export certificates, pro-forma bill of lading, customs invoices and airway bills, insurance certificates for export orders. Reporting and communication on status of inbound and outbound shipments. Daily and weekly notifications on incoming shipments. Obtain completed Certificates of Origin from Customs House when necessary. Coordinate and attend review meetings with agents/lines and report to Management. Coordinate the tender and negotiation process for all logistics costs items e.g. freight and haulage. Coordinate communicate on the status of inbound process from sailing of shipment to clearance by customs and return of empty containers Highlight and escalate potential demurrage occurrence and assist in avoidance initiatives Coordinate and process freight and insurance claims as required. Process Insurance certificate for inbound and outbound shipments Review payment vouchers for freight , haulage and agent charges, ensuring accuracy in invoices vs actual shipments and negotiated costs Preparation of Export and Import monthly reports which includes Customer / Vendor Names, Value in US dollars, demurrage, rent tracking and average haulage costs. Maintain a record of inbound and export shipments. Maintain awareness & comply with Quality and Regulatory policies, procedures and guidelines, which include: hazardous material shipments, wooden package regulation, airfreight safety regulations, licenses, corporate policies, rules and guidelines. Ensure maintenance of filing system for documentation Assist in monthly/annual stock taking as required. Other Related duties as assigned. Education and Skills required:- A minimum of three (3) years work experience in a similar position. Five (5) C.X.C. / G.C.E. O' Level Passes Customs License Grade III To be able to work without supervision Proficient in Microsoft Office Suite Other Skills & Abilities:- Highly customer service driven. Ability to process all customs documentation. Reporting skills: create, improve, analyze Excellent verbal and writing skills. Effective interpersonal and communication skills.
